The website bta.systems collects the following data:

Data provided voluntarily by the user:

  • Full name, email address and any additional information — provided when booking a meeting via Calendly
  • Email address and message content — when contacting us at the email address provided on the website

Personal data is processed for the following purposes:

  • Ensuring proper website functionality
  • Analyzing visit statistics and user behavior (Google Analytics)
  • Ensuring website security
  • Scheduling and holding a meeting booked via Calendly
  • Responding to messages sent to the email address provided on the website

4. Legal Basis for Processing

Personal data is processed on the following legal bases under the Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR):

  • Article 6(1)(a) GDPR — user consent: regarding analytical cookies (Google Analytics)
  • Article 6(1)(b) GDPR — necessity to take steps at the request of the user prior to entering into a contract: regarding scheduling and holding a meeting and responding to inquiries about cooperation
  • Article 6(1)(f) GDPR — legitimate interest of the controller: regarding ensuring proper website functionality, security and bot protection (Google reCAPTCHA), and maintaining visit statistics

5. Cookies

The website uses cookies — small text files stored on the user's device. We distinguish the following types of cookies:

  • Essential — necessary for proper website functionality and security (e.g., remembering cookie preferences, bot protection via Google reCAPTCHA), do not require consent
  • Analytical (Google Analytics) — used to collect anonymous statistics about website usage; require user consent and are only activated after consent is given

Upon the first visit, a cookie banner is displayed informing the user about cookies. The user may accept or reject analytical cookies. If rejected, Google Analytics will not be activated. Users can also change cookie settings in their browser at any time.

6. Google Analytics

The website uses Google Analytics 4 (measurement ID: G-SBK487PJN4), provided by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland). Google Analytics uses cookies to analyze how users interact with the website.

Google Analytics scripts are loaded only after the user gives consent via the cookie banner. If analytical cookies are rejected, no data is transmitted to Google Analytics.

Information generated by cookies about website usage may be transferred to Google servers in the United States. 7. Meeting Booking (Calendly)

The website does not have a contact form. Meetings can be booked via the external Calendly service, provided by Calendly LLC (USA). After clicking the booking button, the user is taken to Calendly, where they provide the data needed to schedule the meeting.

  • Bot protection — before the booking link is provided, the website verifies that the user is not a bot using Google reCAPTCHA v3, provided by Google Ireland Limited. For this purpose, Google processes, among other things, the IP address and information about the device and how the website is used.

Data provided in Calendly is used solely to organize and hold the meeting. The controller does not use it for marketing purposes. Calendly processes this data on behalf of the controller. More information about Calendly's privacy practices: https://calendly.com/privacy

8. Data Retention Period

Technical data is stored for the period necessary to fulfill the purposes for which it was collected, no longer than 26 months from the date of the user's last activity on the website. Data provided when booking a meeting and email correspondence are stored for the period necessary to organize the meeting and for further communication, no longer than 12 months from the date of last contact, unless a contract is concluded — in which case for the period required by law.

Every user has the right to:

  • Access their personal data
  • Rectify their data
  • Erase their data ("right to be forgotten")
  • Restrict processing
  • Data portability
  • Object to processing
  • Withdraw consent for data processing at any time (without affecting the lawfulness of processing carried out prior to withdrawal)
  • Lodge a complaint with the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw, Poland)

10. Data Recipients

Data may be shared with entities providing services to the controller, in particular:

  • Hosting service providers
  • Google Ireland Limited — in connection with the Google Analytics service (only after the user consents to analytical cookies) and Google reCAPTCHA (bot protection)
  • Calendly LLC — in connection with meeting booking

Data may be transferred to third countries (including the USA) in connection with the use of Google services (Analytics, reCAPTCHA) and Calendly, based on appropriate safeguards in accordance with GDPR (EU-U.S. Data Privacy Framework or Standard Contractual Clauses). Outside this scope, data is not transferred outside the European Economic Area.

11. Changes to the Privacy Policy

The controller reserves the right to make changes to this privacy policy. Users will be informed of any changes by posting an updated version on the website.
